Primary responsibilities:
Coordination & scheduling: organize meetings, workshops, and status calls; maintain calendars; coordinate cross-functional resources.
Status tracking & reporting: collect task updates, maintain trackers, produce weekly/monthly status reports and dashboards for stakeholders.
Documentation & version control: create and maintain project documentation (plans, minutes, decisions, change logs); ensure document repository is updated.
Risk & issue support: log and follow up on risks, issues, and actions; escalate to PM when needed and track mitigation progress.
Budget & procurement assistance: track expenditures, process purchase requests/invoices, support simple budget reconciliations.
Stakeholder communications: prepare meeting agendas, communications, and status emails; maintain stakeholder contact lists.
Required qualifications & Skills
Associate’s or Bachelor’s degree (business, management, engineering, IT, or related); equivalent experience accepted, Project tools: familiarity with MS Project, Excel, Smartsheet, Asana, Jira, Trello, or equivalent.
Documentation & reporting: strong written communication, minute-taking, and presentation skills.
Organization & time management: ability to prioritize competing tasks and manage follow-ups.
Interpersonal skills: works well with cross-functional teams; comfortable liaising with technical and non-technical stakeholders.
Analytical ability: comfortable tracking metrics, preparing basic budget/variance reports, and spotting schedule slippage.
