Core responsibilities:

Plan and manage event lifecycle: concept, vendor sourcing, contracts, logistics, on-site execution, and post-event wrap-up.
Create and maintain event budgets; track expenses and reconcile vendor invoices.
Source, negotiate with, and manage vendors (venues, AV, catering, decorators, transportation).
Develop event timelines, run-of-show documents, floor plans and staffing plans.
Coordinate registration, ticketing, seating, badges, and guest communication.
Manage event marketing coordination with internal teams (email, social, landing pages).
Ensure compliance with permits, insurance, health & safety and accessibility requirements.
Lead on-site operations, troubleshoot issues, and ensure the guest experience.

Required skills and qualifications

Strong project management, communication, negotiation, attention to detail, problem-solving, adaptability, customer-service orientation, and team leadership.
Budget management, contract negotiation, event logistics, vendor management, timeline/run-of-show creation.
Tools/tech: Google Workspace / Microsoft Office (Excel), event platforms (Cvent, Eventbrite, Bizzabo, Splash), CRM/marketing tools (HubSpot, Mailchimp), project management (Asana, Trello), basic accounting or invoicing tools (QuickBooks, Xero).
Education: BA/BS in Hospitality, Event Management, Marketing, Business, or related field.
